Vacation Rental Inventory & Restock Checklist

A useful vacation rental inventory system separates durable property contents from consumable supplies and linen inventory, then gives each category a clear review and replacement process.

Separate three types of inventory

Consumables

Items guests or cleaners regularly use up: toilet paper, paper towels, trash bags, soaps, coffee supplies, dishwasher products and similar stock.

Linens

Sheets, pillowcases, bath towels, hand towels, washcloths, kitchen towels and other washable items that move between beds, storage and laundry.

Durable property items

Dishes, cookware, small appliances, remotes, lamps, furniture and other items that should be present but are not consumed during each stay.

Set a par level for consumables

A par level is the quantity you want available when the property is fully stocked. For example, if the target is 12 rolls and only 5 remain, the system should show that 7 are needed to return to par. This makes restocking measurable instead of subjective.

Choose a reorder point

The reorder point can be lower than the full par level. It tells the host or manager when to buy more before the property runs out. The right number depends on turnover frequency, storage space and how quickly replacement stock can be obtained.

Track linens differently from supplies

Record damage and missing items

When a durable item is missing or damaged, record the property, item, date discovered, condition, next action and whether replacement is urgent before the next guest.

Give the cleaner a short restock list

The cleaner should not need to study a giant inventory workbook. Give the field team a focused list of the items they actually count during every turnover, while the host or manager keeps the master inventory.

Review inventory on a schedule

High-use consumables may be counted every turn. Durable property contents can be checked less often. Linens should be reviewed frequently enough that damaged or missing sets do not slowly reduce operating stock.
